How to Remove Line Breaks in Word and Google Docs

Two Kinds of Line Breaks

Before you remove anything, it helps to know which kind of break you are dealing with. Word and Google Docs have two:

  • Paragraph marks come from pressing Enter. Each one starts a new paragraph.
  • Manual line breaks come from pressing Shift+Enter. They start a new line inside the same paragraph, which is common in addresses and poems.

Pasted text often brings both kinds with it, plus breaks that do not belong at all. The fix depends on which app you are in, because Word and Google Docs handle this very differently.

Method 1: Remove Line Breaks in Word With Find and Replace

Word has special codes for both kinds of breaks, so Find and Replace can delete them in seconds.

Steps:

  1. Press Ctrl+H to open Find and Replace.
  2. Click More to expand the dialog, if it is not already expanded.
  3. To remove paragraph marks, type ^p in the "Find what" box. To remove manual line breaks, type ^l instead. That second code is a caret followed by a lowercase letter L.
  4. In the "Replace with" box, type a single space if you want the words kept apart, or leave it empty to join the text directly.
  5. Click Replace All. Word will tell you how many replacements it made.
  6. If your text has both kinds, run Replace All twice: once with ^p and once with ^l.

If you do not want to remember the codes, click the Special button at the bottom of the expanded dialog. It lists "Paragraph Mark" and "Manual Line Break" by name, and clicking one inserts the right code for you.

Tip: To see which breaks you actually have, press Ctrl+Shift+8 to show formatting marks. Paragraph marks appear as a backward P, and manual line breaks appear as a bent arrow. Turn the marks off with the same shortcut when you are done.

Method 2: Collapse Double Breaks in Word

Sometimes the problem is not breaks themselves, but too many of them. Pasted text often has blank lines between every paragraph, so the document looks full of gaps.

Steps:

  1. Press Ctrl+H to open Find and Replace.
  2. In the "Find what" box, type ^p^p (two paragraph marks).
  3. In the "Replace with" box, type ^p (one paragraph mark).
  4. Click Replace All, and repeat it a few times. Each pass halves the number of double breaks, until only single breaks are left.

This turns a document full of blank lines into clean, single-spaced paragraphs without touching the text itself.

Method 3: Remove Line Breaks in Google Docs (The Workaround)

Here is the honest answer: Google Docs Find and Replace does not support paragraph marks or line breaks. There is no ^p code, and you cannot search for a line break character. If a guide tells you otherwise, it is describing Word, not Docs.

The reliable workaround is to clean the text outside Docs and paste it back:

Steps:

  1. In Google Docs, select the text with the unwanted breaks and copy it with Ctrl+C.
  2. Open our free online Remove Line Breaks tool and paste the text in.
  3. Pick a separator, such as a space or a comma. The tool replaces every line break instantly.
  4. Copy the cleaned text and paste it back into your document, replacing the original.

This takes under a minute and works for both kinds of breaks, because the tool treats them all the same way. It also works for text copied from a PDF, a website, or an email, which is where most stray breaks come from in the first place.

Tip: When you paste back into Docs, use Ctrl+Shift+V (paste without formatting) if the cleaned text picks up an unwanted font or size. That keeps your document formatting intact.

Which Method Should You Use?

Use Word Find and Replace when you are in Word, because the ^p and ^l codes handle both kinds of breaks exactly. Use the double-break trick when blank lines are the real problem. In Google Docs, skip Find and Replace for this job and use the online tool workaround, because Docs simply does not offer a code for breaks.

One thing to remember with all three methods: they change your text, so work on a copy of the document first, or use Undo (Ctrl+Z) right away if the result is not what you expected.
